Elovire Events provides event planning, design, management, production and related event services.
The services displayed on this website are intended to provide a general overview. Final deliverables, requirements, timelines and pricing will depend on the scope agreed with each client.
2. Enquiries
Submitting an enquiry through our website, social media, WhatsApp or another communication channel does not constitute a confirmed booking or contractual relationship.
Event dates remain subject to availability until the required booking process has been completed.
Elovire Events reserves the right to accept or decline an enquiry subject to availability, scope and operational requirements.
3. Booking & Date Confirmation
Unless otherwise agreed in writing, a 50% advance payment is required to reserve and confirm an event date.
The remaining balance is payable 10 days before the event date.
Where an event is booked less than 10 days before its scheduled date, Elovire Events may require full payment or an alternative payment schedule before confirmation.
An event date will only be considered confirmed once:
- The required advance payment has been received; and
- The relevant quotation, proposal or agreement has been approved by the client.
Until these requirements have been completed, the requested date remains subject to availability.
4. Quotations & Pricing
Quotations are prepared based on the information and requirements available at the time.
Pricing may be revised where there are changes to:
- Guest count
- Event date or timings
- Venue requirements
- Décor or design requirements
- Production requirements
- Vendor costs
- Scope of work
- Additional services requested by the client
- Other circumstances materially affecting event requirements
Any significant change may require a revised quotation.
5. Client Cancellation
If a confirmed event is cancelled by the client, any refund will first be assessed after taking into account the work already completed and any costs already incurred or committed by Elovire Events in relation to the event.
This may include vendor payments, labour, décor materials, fabrication, equipment rentals, production, transport, logistics and other event-related expenses.
Subject to the above:
Cancellation 10 days or more before the event:
Up to 50% of the total amount paid may be refunded.
Cancellation less than 10 days before the event:
The refundable amount, if any, will depend on the work completed and costs already incurred or committed. Any refund will not exceed 50% of the total amount paid.
Cancellation within 2 days before the event:
Up to 25% of the total amount paid may be refunded, subject to costs already incurred or committed.
Cancellation on the day of the event:
Payments will be non-refundable, particularly where materials, equipment, labour or production have already been deployed to the event site.
Where certain costs have not yet been incurred or committed, those amounts may be considered when determining the final refund.
6. Costs Already Incurred or Committed
Where applicable, any refund will be calculated after accounting for costs already incurred or committed by Elovire Events.
These may include:
- Décor materials
- Fabrication
- Vendor payments or deposits
- Labour
- Equipment rentals
- Production costs
- Transport
- Logistics
- Artist or entertainment commitments
- Venue-related costs
- Other event-specific expenses
Where materials, equipment or manpower have already been arranged, purchased, transported or deployed to the event site, the related costs will be non-refundable.
Where particular costs have not yet been incurred or committed, those amounts may be considered when determining the final refundable amount.
7. Refund Processing
Where a refund is applicable, Elovire Events will determine and communicate the refundable amount after reviewing the work completed and costs already incurred or committed.
Any applicable refund will be processed through a mutually agreed payment method within a reasonable timeframe.
8. Event Postponement
Where a client requests to postpone an event, Elovire Events will make reasonable efforts to transfer the booking to a new date, subject to availability.
Any additional charges resulting from vendor availability, revised pricing, date changes, additional logistics or rebooking requirements will be communicated to the client.
A change of date does not automatically guarantee that all originally confirmed vendors or services will remain available.
9. Changes Requested by the Client
Clients should communicate requested changes as early as reasonably possible.
Changes requested after approval of the event scope, design, quotation, production plan or vendor booking may result in:
- Additional costs
- Revised timelines
- Changes in availability
- Changes to the original scope
- Changes to the approved design or production plan
Elovire Events will communicate material changes to pricing wherever reasonably possible before undertaking significant additional work.
10. Client Responsibilities
Clients are responsible for providing accurate and timely information reasonably required for the planning and execution of their event.
This may include:
- Guest count
- Venue information
- Event timings
- Access arrangements
- Required permissions
- Venue restrictions
- Security requirements
- Design approvals
- Relevant logistical information
Delays in providing required information, payments or approvals may affect the event timeline or delivery.
11. Third-Party Vendors & Suppliers
Elovire Events may coordinate with or engage third-party suppliers, vendors, venues, performers, caterers, production companies, photographers, decorators and other service providers where required.
Third-party services remain subject to their own availability, terms and policies.
Elovire Events will take reasonable care when coordinating such services but cannot guarantee matters outside its reasonable control.
Specific vendor responsibilities may be addressed in the relevant quotation or event agreement.
12. Creative Work & Intellectual Property
Concepts, presentations, drawings, moodboards, layouts, proposals, designs and other creative materials developed by Elovire Events remain the intellectual property of Elovire Events unless otherwise agreed in writing.
Such materials may not be copied, reproduced, transferred to another event company or used for independent execution without prior permission from Elovire Events.
13. Photography, Videography & Portfolio Use
Where appropriate permission or contractual rights exist, Elovire Events may photograph or record elements of an event for:
- Portfolio use
- Website content
- Social media
- Marketing and promotional purposes
- Internal records
Photography or videography undertaken solely by Elovire Events for its own records or marketing purposes will not be charged to the client unless otherwise agreed.
Any specific confidentiality or publication requirements may be agreed separately in writing.
14. Circumstances Beyond Our Control
Elovire Events will not be responsible for failure or delay in providing services where this results from circumstances beyond its reasonable control.
Such circumstances may include:
- Severe weather
- Natural disasters
- Government restrictions
- Venue closures
- Civil disturbance
- Transport disruption
- Utility or infrastructure failures
- Public emergencies
- Supplier failures outside our reasonable control
- Other unforeseen circumstances that make performance impossible, unsafe or impractical
Where reasonably possible, Elovire Events will work with the client to identify an appropriate course of action.
15. Limitation of Liability
Elovire Events will exercise reasonable care in providing its services.
To the extent permitted by applicable law, Elovire Events will not be responsible for indirect, incidental or consequential losses arising from circumstances outside its reasonable control.
Nothing in these Terms & Conditions is intended to exclude any liability that cannot lawfully be excluded.
16. Event-Specific Agreements
An event-specific quotation, proposal or signed agreement may contain different:
- Payment terms
- Cancellation or refund conditions
- Vendor arrangements
- Deliverables
- Timelines
- Production requirements
- Other event-specific conditions
Where there is any conflict between these website Terms & Conditions and a signed event-specific agreement, the terms of the event-specific agreement will take precedence.
17. Website Content
Unless otherwise stated, the branding, written content, original graphics and creative material appearing on this website belong to Elovire Events.
Certain photographs or materials may belong to photographers, clients, venues, collaborators or other rights holders and may be displayed with appropriate permission.
Website content may not be reproduced or commercially used without permission from the relevant rights holder.
18. External Links
The website may contain links to third-party websites or social media platforms.
Elovire Events does not control these external websites and is not responsible for their content, security, availability or privacy practices.
19. Privacy
Personal information submitted through this website will be handled in accordance with the Elovire Events Privacy Policy.
20. Governing Law
These Terms & Conditions are governed by the applicable laws of Pakistan.
Any dispute relating to the use of this website or these Terms & Conditions will be subject to the jurisdiction of the competent courts of Pakistan unless otherwise agreed in a separate written contract.
21. Changes to These Terms
Elovire Events may update these Terms & Conditions from time to time to reflect changes to its website, services or business practices.
